Exit Milestone Reporting 2010 for Sustain Ed Schools (Lead Teachers)


· This is due into Julie on the 17 November 2010

· Each school is to fully report back against each Goal. Lead Teachers to complete.

· Evidence must be against each Goal (Explanation/Anecdotal/Links to wikis/blogs/classroom practice/photos/student work/teacher practice etc)

· Goals 3/4/5 can be reported on over the year as they were not included in the mid year milestone reporting.

· Principals have a separate school report to complete as an overview but need to be part of this process.

· All teachers will be required to be part of an exit survey-details to be provided but will be by September. We will email details as soon as they are available.

· This template is on the Sustain-Ed wiki.

Milestone Process

Process
As per the milestone template, your final milestone 6 report must include the following:
6.2.1 Liaise with the National Facilitator assigned to this project

6.2.2 Report against progress towards each of the five national goals.

A. National Programme Goal 1. Supports integration of ICT to give effect to the New Zealand Curriculum / Te Marautanga o Aotearoa;

B. National Programme Goal 2. Increase capability of teachers and principals to improve students’ learning and achievement through e-learning

C. National Programme Goal 3. Strengthen professional learning communities and increased collaboration within and across schools

D. National Programme Goal 4. Increase e-learning leadership and ICT strategic planning capability of principals and teachers

E. National Programme Goal 5. Increase the school community’s understanding of the educational contribution of e-learning.

For each of these areas, you will need to report on your end of programme review in relation to the following points a and b

a. What progress has been made towards achieving these goals?
b. What evidence supports this?

6.2.2 F. Provide a brief report on the progress of each school

Each school in the cluster needs to report on their general progress and on specific changes they have observed or made as part of being involved in the ICT PD programme. Note: please avoid repeating information provided in the national goals section. Rather, principals may wish to provide an overview of the following aspects:
• What changes have you instigated or observed?
• Was there an activity which has been particularly effective for your school
• What percentage of your staff are making the most of the opportunities afforded by the ICT PD?
• What has the impact been for your students?
• Whether they have been actively involved in cluster administration, implementation and the variation process.

Note: Suggested length – half a page.

6.2.3 Report on your programme implementation during the milestone period

The overview of your programme activities requires that you report on the programme activities for this milestone period including:-
• Date of the event where applicable
• What you did (e.g. staff meetings, workshops, one-to-one tutoring, quality learning circles, in-class support, school visits, mini-conference, student workshops) and how often you did it
• Who was involved (e.g. Principals, lead teachers, facilitators, family and whānau etc.) and how many were involved

Note: This section is a simple list of outputs, rather than outcomes which are covered in the national goals section.

6.2.4 What were the key lessons learned over the three years of the ICT PD Programme

Note: This is an overview of the three years. This information may be collated for the benefit of future clusters.

6.2.5 Provide details of the cluster’s contribution to other schools. This could include the following:
• Resources developed, trialled and sharing
• Online resource links, urls publications, newsletters
• Hosting visits from other schools, conference presentations, resource development and mini conferences held.

6.2.6 Provide financial statements that detail all the expenditure of the ICT PD contract funds against all cost centres. Your cluster is expected to submit full details of income and expenditure. The financial records are expected to be itemised - not just totals but a full transaction report. You are expected to have spent your contract funds on the tasks completed between 2008-2010. Provide financial statements that detail all income from the ICT PD Funds received from the Ministry of Education and expenditure against the following four cost areas:
• Professional Fees
• Professional Costs
• Operating Costs
• Teacher Release

Invoice
In this milestone, you will be asked to provide an invoice for the final amount spent by the cluster. This will include all spending against the cost areas up to the 1st of Feburary 2011 as per the submitted ledgers. Any unspent funds will remain with the Ministry of Education and any variation on this would need to be negotiated with the Ministry of Education.


6.2.7 Complete the Project Directors, Facilitators and Principals Online Survey at XXXX

This will need be completed by all target groups as named above, before submission of the milestone.

Disbursement Schedule

Attach the final disbursement schedule as per the contract.

Note about the previous ‘End of project Online Survey’
The Ministry of Education no longer funds the End of Project Survey which was the same survey as all your cluster staff completed when you came into the project. You can ask CORE Education to administer and anaylse the survey for you at a cost of $1200. Alternatively, you can have a paper copy of the survey emailed through to you that you can administer and anaylse yourselves. Contact Laura Evans at CORE Education at laura.evans@core-ed.org if the cluster is interested in either option.



Submission of milestone
The milestone report should be drafted in document format (e.g. Microsoft Word, Open Office, Google Docs) by the cluster leadership team for ease of sharing with cluster schools and the National facilitator. Please ensure you provide your NSSF with the name of the person responsible for final submission of the exit milestone before Feb 1 2011. We are aware that personnel may change from the end of 2010 to the beginning of 2011.

The draft milestone should then be emailed or shared electronically to the national facilitator assigned to your cluster no later than the 26th November 2010.

Once approved by the National facilitator you need to do the following:
• Rename the approved version of the milestone according to the following format:
leadschoolname_contract number_milestone number
e.g. uponhighschool_0700132_M5
• Create a PDF of the approved version with the same naming format
e.g. uponhighschool_0700132_M5.pdf
(Use of the PDF format means that no further edits can easily be made to the milestone. Word processed documents can be converted to PDF format using Adobe Acrobat or with free distributions such as PrimoPDF. Mac OS allows the creation of PDF’s from the Print Dialogue Box. Google Docs allows you to download the file in PDF format)
• Email the final version to the following people:
o the MoE ictpd.programme@minedu.govt.nz
o your national facilitator
o all cluster principals
• An alternative courier address is provided on the milestone template for rare cases where email may not be practicable (e.g. firewall or file size issues). Clusters can courier an electronic version of the milestone report on CD-ROM or Flash memory drive.
If you have not received acknowledgment of the safe delivery of your email within 3 working days please contact the Ministry at ictpd.programme@minedu.govt.nz



Response to milestone
During the development of your milestone your National Facilitator will support you with formative feedback on the process that will help you to gauge your progress so far and future steps. Once they have approved your report it should be circulated to all cluster schools and then forwarded to the Ministry of Education.
When the report has been approved by the Ministry of Education a formal letter acknowledging the report will be sent to the Principal of the lead school. Copies should be circulated by the lead school to all schools within the cluster.
